Role will assist the Sr. VP of Operations with all aspects of the department and functions, including department objectives that are in line with the company overall objectives. The individual working in the RMA and Logistics Coordinator role must prioritize and re-prioritize multiple times per day for maximum efficiency, timeliness, and accuracy because the duties are varied and at high volume with frequent interruptions and distractions.

Salary Rate of Pay: $15.00/Hr to start

The individual working in the RMA and Logistics Coordinator role must prioritize and re-prioritize multiple times per day for maximum efficiency, timeliness, and accuracy because the duties are varied and at high volume with frequent interruptions and distractions.
DUTIES
- Manages product flow through the RMA/Accessory area, organizing and prioritizing work based on daily picking tickets and production schedules. Daily intake, verification, routing, tracking, monitoring, and shipment of returned products. Coordinates inventory and movement of parts from the warehouse to complete batches. Assist in selecting supplies, inspects products for defects, assembles items, and maintains quality standards.
- Handles all returned products: verifies warranty, matches RMAs, determines repair/replacement actions, communicates with Warranty contact, and notifies customers of estimated shipping dates. Pulls components to repair or complete shipments, packages products to current standards, enters shipping information, and coordinates shipment processing.
- Acts as the logistics primary contact for freight quotes and questions, reviews documents for special requirements, researches discrepancies, selects shipping methods and carriers, creates and audits packing lists and BOLs, schedules shipments, processes freight claims, and maintains QMS and company databases. Conducts analyses and monthly reports, approves invoices, and forwards them to accounting.
- Lead efforts in process improvement projects aimed at enhancing efficiency across logistics functions such as shipping & receiving, order fulfillment, and materials management.
- Manage 3PL (third-party logistics) providers including NVOCC (Non-Vessel Operating Common Carrier) freight forwarding companies to ensure timely delivery and cost-effective transportation solutions.
- Collaborates across departments to ensure accuracy and timely processing, supports outside sales reps and customers, maintains expert knowledge of products and internal systems, and contributes to process improvements. Assists in closing procedures and audits, cross-trains in other roles as needed, and completes special projects as assigned.

- Reads and interprets supervisor instructions, emails, phone calls, SOPs, guidelines, and instructions to determine which tasks need to be completed and in which order. Locates and verify resources to complete tasks and meet deadlines.
- Collaborate and build strong relationships with external and internal teams (vendors, suppliers, customers) to meet and support the needs of Neutral Posture, your role, and department.
- Consistently reviews future tasks and in-progress to ensure compliance with established procedures and current standards of excellence.
- Follows proper procedures, ensures all items are accurate, and pays close attention to creating complete and high-quality output.
- Maintain an expert level of knowledge of your department, your role, and our ever-evolving product, service offering and internal systems.
- Maintain a smooth workflow by proactively noticing potential bottlenecks and researching/ implementing resolutions.
- Avoid delays in providing information to department/team and outside persons and lost time by consistently prioritizing quality and safety in every task.
- Contributes to team initiatives, including the creation of knowledge, systems, and efficiency of Neutral Posture.
- Focus on completing and supporting job duties and all active areas of the process and understanding both upstream and downstream responsibilities.
- Eliminate non-value-added activities, maintaining high productivity during the entire workday.
- Follow all guidelines relevant to your work area, including quantity and quality standards, and promptly report any discrepancies to your supervisor with clear details.

- Prior experience in manufacturing or commercial furniture is preferred.

- MS Office Suite (Word, Excel, Outlook), Windows PC, Macola Software (preferred)
- General Office Equipment & Machines (Phone, fax, scanner, copier, computer, printer, webcam, etc.)
- Word processing, spreadsheet, and database skills to prepare correspondence, reports, forms, materials, etc. with speed and accuracy, including the willingness to learn and use new computer programs/applications.
